Charterhouse is working with a well-established regional investment firm in Dubai that is looking to hire an Administrative Assistant to join its dynamic team.

The Administrative Assistant will be responsible for reception duties such as welcoming guests and clients into the business in a professional manner, answering incoming telephone inquiries, making outbound calls, and managing emails. This role will also assist with presentation preparation by scheduling meetings for management, booking meeting rooms, and ensuring the room is well-equipped for the meeting.

In addition, this role will support the Operations Manager to assist in the smooth running of the office, including assisting with expenses, negotiating with suppliers, contract and license renewals, liaising with landlords, facilities management, health, and safety.

Our client is based in the DIFC, so it is advantageous to have experience managing records on the DIFC Portal. Otherwise, working within a similar industry will be of interest. As a proven administrator, this role must be highly organized, able to manage tight deadlines, and able to represent the business in the best light at all times.

To be considered for this role, the successful candidate must have a minimum of 3 years of administrative experience, ideally within the luxury space, professional services, or financial services. However, this is optional. In addition to exceptional customer service skills, the candidate must possess excellent communication skills in English, both written and verbal; Arabic is an advantage.

Our client is looking for someone already residing in Dubai with UAE working experience. The ideal candidate must be a highly motivated individual with exceptional organizational skills and the ability to work in a fast-paced environment while demonstrating the ability to work well within a team.
